REGISTRATION AND PAPER SUBMISSION
ABSTRACT SUBMISSION
Step 1: Create / Open an account at EasyChair platform: https://easychair.org/conferences/?conf=sesam2025
For every new submission, you will have to fill in the data concerning the authors, title, abstract, keywords and topic of your paper, and the type of registration.
If your paper is going to be presented by another author who is not part of the list of authors, please fill in the name, surname and e-mail address of the presenter.
After making sure that these data are correct you have to press the Submit Button. No files shall be uploaded at this stage.
This step represents the Abstract submission phase and shall be performed by the deadline of 30.05.2025. You will receive a notification on the acceptance/rejection of your Abstract by 06.06.2025.
FULL PAPER SUBMISSION
Step 2: If the Abstract is accepted, authors are required to draw up the Full Paper in strict compliance with the SESAM 2025 Paper Template and transform it into a PDF document.
The quality of the PDF document has to be checked at: http://pdf-analyser.edpsciences.org/ so that to make sure that all fonts are embedded and that the quality of images is at least 150 dpi.
The checked PDF must be uploaded in the “Full Paper in PDF” section only after 06.06.2025, but no later than 30.06.2025
Step 3: Your uploaded Full Paper will be subject to reviewing and the authors will be notified by 15.08.2025 on the ACCEPTANCE without changes / with changes or on the REJECTION of the paper (if an unacceptable level of plagiarism level is detected or in case of major lack of scientific quality).
In compliance with the remarks of the reviewers received, authors will or will have not to revise the paper. If a revised version is required, authors are kindly asked to perform all changes required and to upload a revised version of document in the “Revised Paper in DOCX” and “Revised Paper in PDF” sections of their submission, by 22.08.2025. Please note that before uploading the
Revised Paper, authors have to perform the PDF quality check for this document, as described before. Also, authors will have to transform the Revised Paper DOCX into a PDF document whose quality has to be checked at: http://pdf-analyser.edpsciences.org/ so that to make sure that all fonts are embedded and that the quality of images is at least 150 dpi.
The newly created Revised Paper in PDF document has to be uploaded in the corresponding “Revised Paper in PDF” section.
The PDF Analyser Report for the Revised Paper in PDF has to be uploaded in the corresponding “PDF Analyser Report” section (PDF or JPG format accepted).
IMPORTANT NOTES:
1. Please note that even if after the review process you are informed that your Paper is accepted without changes, you will still have to re-upload the article in the Revised Paper in DOCX section, to transform it into a PDF, to check the PDF document quality as mentioned before and to upload the Revised Paper in PDF and the PDF Analyser Report into the corresponding sections.
2. “Revised Paper in DOCX”, “Revised Paper in PDF”, “PDF Analyser Report”, and “Signed Licence Agreement” and ”Registration Form” sections will be activated for the authors’ access gradually, depending on the completed review steps.
ADDITIONAL DOCUMENTS SUBMISSION
Step 4: For each accepted submission, authors will have to upload in their Easychair account, by 15.09.2025, all the following documents:
1. Revised Paper in DOCX (upload deadline 22.08.2025)
2. Revised Paper in PDF (upload deadline 22.08.2025)
3. PDF Analyser Report (Printscreen of the PDF Analyser Report generated at http://pdf-analyser.edpsciences.org/ for the Revised Paper, uploaded as JPG or PDF in the corresponding section)
4. Signed License Agreement (SESAM 2025 License Agreement signed, scanned and uploaded in PDF or JPG format, in the corresponding section)
5. Participant Registration Form (authors of papers have to fill in the relevant data within the SESAM 2025 Participant Registration Form and must upload it in the corresponding section in PDF or JPG format. ONLY the ones who wish to participate WITHOUT a paper have to submit the filled in form, in PDF or JPG, by e-mail at sesam@insemex.ro.
ADDITIONAL NOTES FOR AUTHORS:
A paper will be considered for selection and publication with open-access, ONLY if it is presented within the symposium.
All articles are going to be scanned using anti-plagiarism detection software.
A maximum of 15 references per article is allowed, with only a maximum of 3 citations to proceedings articles. Please note that article exceeding this quota will be excluded from the publication by the production team.
Authors must ensure that a set of references doesn't excessively point to the same author(s) or the same publication with the intention to artificially increase the citations of certain authors. This precaution applies to a single article or a series of articles.
Maximum number of accepted papers per author / co-author is 2 (TWO).
Maximum number of authors per paper is 5 (FIVE).

PARTICIPATION WITHOUT PAPER (AUDITOR)
Authors who wish to participate WITHOUT a paper have to submit the filled in Participant Registration Form, in PDF or JPG, by e-mail at sesam@insemex.ro and pay the corresponding registration fee no later than 15.09.2025.
